Anime Expo Art Show Rules and Regulations ========================================= I. Art Show Rules and Regulations --------------------------------- 1. Each artist must have at least an associate's membership to Anime Expo. 2. All artwork must be the artist's original work on an anime, science fiction, fantasy, or fannish theme. The Art Show Director reserves the right to reject any artwork deemed unacceptable due to poor taste or unrelated theme. 3. Hand-colored photocopy prints of the artist's work will be accepted, but at least half of the entries should be original art. 4. All two-dimensional pieces MUST be either matted, framed, or otherwise mounted. THERE WILL BE NO EXCEPTIONS TO THIS RULE. 5. The artist's full legal name, permanent mailing address, the title of the artwork, and the control number for that piece should be securely attached to the back of the artwork. 6. Once a piece has been submitted to and accepted into the art show, the artwork will not be permitted to be removed from the art show until artist check-out on Sunday. (Exceptions will be made if a piece is needed as a display for a panel or demonstration.) 7. Artwork in transit is the responsibility of the artist. The convention will accept responsibility for artwork only after it has been submitted to and accepted into the art show. 8. Mail-in art will not be accepted. 9. If you are unable to attend personally and are sending your artwork with your friend, he/she is acting as your agent, and you must include a signed statement to that effect. Please note that when they are acting as your legal agent, you are legally bound by their actions. 10. All rules are subject to change at the discretion of the Art Show Director. II. Art Show Registration ------------------------- 1. Art show entry/registration forms will be accepted by mail until June 15th. Thereafter, artists may come to the convention and register as a "walk-in" and be subject to the walk-in fee rates. Reservations will be acknowledged upon receipt. Each artist will be limited to a maximum of 6 display spaces (two dimensional panel spaces, three dimensional table spaces, or a combination of both). Payment in full must accompany all reservations. 2. You MUST use your full legal name on your art show registration paperwork. Indicate alternate names (e.g. fannish names or pen names) in brackets. 3. You may enter in either the amateur or professional categories. This will not affect your placement within the show, only with whom you compete should a contest be held. 4. Reservations for Art Show display spaces will be held until 6pm on Friday unless previous arrangements are made with the Art Show Director. Refunds will only be made until June 20th for cancellation of display spaces. 5. All reservations are allocated on a first come, first served basis. Walk-in art is subject to space availability. III. Arist Alley/Sketch Table Rules ----------------------------------- 1. You must have a full membership to the convention. 2. You must be registered as an artist with artwork on display in the art show. 3. You should reserve you Artists' Alley space as early as possible. We will only be accepting a limited number of reservations (with some extra space assigned to a waiting list) for the Alley. We will probably have no spaces left at the con, so reserve your tables A.S.A.P. You must have a art show space reservation and Artists' Alley registration number to use a table in the Artists' Alley. 4. All items on sale must be an original creation by the artist. Video tapes, model kits, manga/comic books, production cels, or other commercial items (of any type) will not be permitted to be sold in the Artists' Alley. If you want to sell commercially available items, you will have to get a table in the dealers' room. 5. Table reservations will be good until 9am each morning (the choice of the specific table location will be determined on a first come, first served basis on Friday morning and will determine the permanent locations for each artist for the weekend). After 9am, your table reservation is void for that day and will be assigned to someone on the Alley waiting list. 6. There will be an informal meeting at 8:30am Friday morning in the Alley to go over any problems or questions. 7. All reservations will be acknowledged upon receipt. 8. All rules are subject to change at the discretion of the Art Show Director. IV. Fees -------- 1. 4 x 4 feet panel spaces for hanging two dimensional artwork will be sold for $10. (Please note that since our panels are 4 x 8 feet, one panel space will be 1/2 of a full panel). 36 x 18 inch table spaces for three dimensional artwork will sell for $5. A maximum of 6 spaces will be allowed per artist (panel and table spaces combined). 2. All hanging and display fees will be doubled for walk-in artwork. 3. There will be no fees for use of Artists' Alley or Sketch Tables. 4. Make all checks payable to the Society for the Promotion of Japanese Animation (SPJA). Please list "Art Show" in the space for comments on the check. 5. A 10% commission on sales will be assessed in the following manner: A. All artists will be given a credit of $10 for each panel space and $5 for each table space toward their sales commission. B. A 10% commission will be calculated from the total sales of each artist. C. If the credit for display spaces totals more than the 10% commission, there will be no deductions from the total sales proceeds due the artist. D. If the credit for display spaces totals less than the 10% commission, only the difference between the commission and the display credit will be deducted from the total sales proceeds due the artist. 6. All proceeds from sales should be mailed by the end of July. V. General Information ---------------------- 1. Set-up and Artist check-in is scheduled from 9am to 12 noon on Friday (Artists' Alley participants will need to reserve their table locations before 9am). Please arrive early and have your control sheets and bid sheets filled out prior to your arrival if possible. 2. Art Show staff will assist you in display your work. Please do not overlap artwork on the panels and use care in hanging of your artwork. Hooks and binder clips will be provided. In addition, if you are displaying three dimensional artwork, please bring your own protective case if necessary, as the convention will not be able to provide any. 3. The Art Show and Modeling Display will be open to the public for bidding from 12 noon to 7pm on Friday and 10am to 8pm on Saturday. The Art Show and Modeling Display will be open to the public for direct sales from 10am to 3pm on Sunday. SATURDAY IS THE LAST DAY FOR BIDDING ON ARTWORK AT THE ART SHOW. Times are subjected to change and will be finalized at the convention. 4. The bid sheets include a space for direct sale price. If you choose to list a direct sale price, it will only apply if the piece has received no other bids. A direct sale will stay on display until art sales pick-up on Sunday unless other arrangements are made. We recommend that you set the direct sale price two to three times higher than the minimum bid price to encourage bidding, and hopefully a higher sales price. 5. Four written bids will send a piece to auction. The art auction will be held on Sunday afternoon, and will immediately precede the charity auction. Auction rules will be set at the beginning of the auction by the auctioneer. 6. The Art Show is working on being able to accept Visa And MasterCard to encourage the sale of artwork. 7. To protect the artists' rights, no photography or videotaping will be allowed in the art show except for official convention photographs/ videotapes and supervised press photography/videotapes. Cameras and/or video equipment will not be allowed into the art show. 8. Security will be provided for the art show and modelling display on a 24 hour basis. 9. Sales of artwork do not include reproduction rights. The artist and purchaser must negoiate reproduction rights separately in as per current and applicable U.S. copyright laws. 10. We will be trying a new computerized inventory and check-in/check-out system this year, so please be patient with any delays that may arise. 11.
